What it does
The CME Office is where staff maintain your institution's provider list, verify logged activities, and check progress against renewal cycles. A separate dashboard summarizes who is on track, at risk, or has not started.
Who it's for
Institution admins who run a CME office, and program admins or directors who track their people's compliance.
How it works
Provider management. The Providers tab lists the CME provider organizations your institution recognizes. To add one, enter its name, accrediting body (for example ACCME, AOA, AMA, AAFP, a state board, or institutional), accreditation number, and contact email.
Provider status. New providers start unverified. A verified badge marks providers whose accreditation has been confirmed. The providers you maintain here become the choices people see when they log activities.
Activity verification. The Pending Verification tab queues completed activities that still need review, with a count badge. Verifying an activity stamps it with your identity and the time. It marks the activity verified and locks it against further edits by its owner.
Compliance monitoring. The CME Compliance dashboard aggregates active reporting periods across the people you administer. Summary tiles count total learners, on track, at risk, and non-compliant.
Status thresholds. At risk means under 50% progress with fewer than 180 days remaining. Non-compliant means no credits earned yet.
The overview table. It lists each person's period with a progress bar and status badge, searchable by name. The At Risk tab narrows the list to people who need attention.
Audit trail. Every change to a CME activity is recorded in an audit log — creation, update, deletion, and credit application to a period. Administrators with the right scope can review it. No one can edit or delete an entry.
Before you start
You need management permission at program, institution, or organization scope to manage providers or verify activities.
Your scope works through program memberships — someone with no program membership won't show up in your queue or reports.
Institution admins work from the CME Office page. Program admins and directors see the same queue, scoped to their program.
Do this
Open the CME Office page (
/institution/professional-development/cme) → you should see the Providers tab and stat tiles for your institution.Select the Pending Verification tab → you should see the queue of unverified activities, with a count badge for how many are waiting.
Review an activity's title and date, then select the Verify button → confirms the activity as verified and removes it from the queue.
To check overall progress, open the CME Compliance page (
/professional-development/cme-compliance) → you should see tiles for Total Learners, On Track, At Risk, and Non-Compliant.Select the At Risk tab → you should see the table narrowed to people below 50% progress with under 180 days left.
You're done when
✓ The activity no longer appears under Pending Verification.
✓ The person's own activity now shows a verified status they can't edit or delete.
✓ The compliance dashboard's stat tiles and progress bars reflect the change.
Boundaries and limits
Access is permission-gated: managing providers, verifying activities, and seeing other people's records all need professional-development management permission at program, institution, or organization scope. Administrators only see people in programs within their scope.
Admin scope works through program memberships. A person with no program membership will not show up in program- or institution-level views.
The at-risk and non-compliant thresholds are fixed and can't be tuned per program. At-risk is under 50% progress with under 180 days left; non-compliant is zero credits earned.
The By Department grouping and downloadable compliance reports are placeholders right now. The tabs exist, but they don't produce grouped data or report files yet.
Verification is a one-click confirm. There is no reject-with-feedback flow on the queue yet, even though a rejected status exists on activities.
The audit log is immutable. No one, including administrators, can edit or delete an entry.
Deleting a provider hides it from lists. It does not change activities already logged against it.
Common questions
Q: Who can verify a CME activity? A: Anyone with professional-development management permission over the person's program, institution, or organization. Verification records who verified it, and when.
Q: Can someone edit an activity after I verify it? A: Not the owner — verified activities are locked for them. Administrators with management permission can still update the record if it needs a correction.
Q: What makes someone show as "at risk"? A: An active reporting period below 50% of its credit target, with fewer than 180 days remaining. "Non-compliant" means an active period with no credits earned at all.
Q: Do providers I add here affect what learners see? A: Yes. People choose from the provider list you maintain when they log an activity. Keeping it current improves the quality of logged records.
