Work-Hour Compliance Reports and Summaries

What it does

Three grouped views on the program's logged hours give leadership a workload picture at a glance: totals and averages by person, by rotation, and by month.

Who it's for

Program directors, program administrators, and coordinators monitoring workload distribution in the administration portal.

How it works

By Person. Each trainee is a collapsible card: total hours, entry count, an approved-count badge, a pending-count badge, and a progress bar against a weekly limit (80 hours by default). Cards sort heaviest loads first. Expanding a card lists that trainee's individual entries.

By Rotation. Groups the same entries by clinical rotation: rotation name, site, date range, total hours, trainee count, and entry count.

By Month. Groups by calendar month: total hours, average hours per week, trainee count, entry count, and the top shift types logged with their counts.

Violations are separate. The violations page has its own stats cards — total, pending, justified, high-severity — and its own by-type, by-date, and by-person breakdowns. See the violation review article.

Export. The flat Logs tab exports to CSV with the current filters applied, so the entries behind any summary can be pulled for offline review.

Before you start

  • You need work-hours management permission to view a program's logs summaries.

  • Set the date range and any other filters on the Logs tab first — all three grouped views read from the same filtered set.

Do this

  1. Open the program logs page (/work-hours/manage/logs) → you should see the Logs tab with search and filters.

  2. On the Logs tab, set the date range and any other filters to the range you want to review → confirm the flat list reflects the trainees or rotations you care about.

  3. Select the By Person tab → you should see a card per trainee with total hours, entry count, and the weekly-limit progress bar.

  4. Select a trainee's card to expand it → the card shows that trainee's individual entries below the summary.

  5. Select the By Rotation tab or the By Month tab to see the same range grouped differently → each shows total hours, trainee count, and entry count for that grouping.

You're done when

  • ✓ The By Person view shows every trainee with logged hours in the range, sorted by total hours.

  • ✓ A trainee over the weekly limit shows a highlighted progress bar and total.

  • ✓ You can export the same range to CSV from the Logs tab.

Boundaries and limits

  • All summaries are scoped to a single program and a date range. There is no cross-program roll-up in this view.

  • The By Month view's average-per-week figure divides total hours by the weeks in that calendar month — it does not average per trainee.

  • Rotation summaries only include entries tied to a scheduled rotation. Unattached hours appear in the person and month views but not the rotation view.

  • Summaries reflect logged entries as they stand. They do not separate approved hours from draft hours, only from each other via the approved and pending badges.

  • The CSV export contains the filtered log entries, not the computed summary cards.

  • Violation and compliance figures live on the violations page, not on these three views.

Common questions

Q: Why doesn't the rotation view add up to the person view? A: The rotation view only counts entries linked to a scheduled rotation. Hours logged without a rotation link are included in the person and month summaries but excluded from the rotation grouping.

Q: Where do I see violation counts for the program? A: On the violations page, not here. Its stats cards show total, pending, justified, and high-severity counts for the program.

Q: Can I get this data out of the platform? A: Yes — export the filtered logs list to CSV. Trainees can likewise export their own entries from their personal page.

Q: How is the weekly limit on the by-person view calculated? A: It's a fixed 80-hour reference line used to color the progress bar. It flags trainees worth a closer look; it isn't the same as a duty-hour rule threshold on the violations page.
