What it does
Academic standing records the formal status a program sets for each learner: Good Standing, Warning, Probation, Remediation, or Dismissed. It keeps a full decision history, and the academic progress area gives administrators a program-wide view of performance alongside those decisions.
Who it's for
Program directors and administrators with academic-progress permissions record and review standing decisions; learners see their own standing history in the personal portal.
How it works
Recording a decision. Select Update Standing to open the sheet for a learner. Set the Status and a Reason. Add an optional Remediation Plan and Review Date. The decider is recorded automatically. A new record closes the learner's previous open record and becomes current. Decisions accumulate as history; they never overwrite each other.
Each record can also carry Committee Notes, shown alongside the remediation plan on the history panel. This field is staff-internal, for program leadership.
Reviewing history. The Standing History panel lists every decision chronologically with a status badge, so committees can trace how a learner moved between statuses.
At-risk dismissals. Dismissing an at-risk alert records who dismissed it and when. It can be reactivated later. Only one dismissal per learner can be active at a time in a program.
Before you start
You need program-level academic-progress management permission, or program administrator status, to record a standing decision.
Have a Reason ready — Save Standing stays disabled until you enter one.
Do this
Open the Academic Standing page (
/grades/academic-standing) → you should see the learner list with current standing badges.Select a learner, then select Update Standing → the Update Standing sheet opens.
Choose the Status in the sheet, then enter a Reason → this is required before you can save.
Add a Remediation Plan or Review Date in the sheet if they apply, then select Save Standing → you should see a confirmation and the learner's badge update.
You're done when
The learner's current standing badge reflects the status you set.
The Standing History panel shows the new decision at the top, with the previous record closed out below it.
Boundaries and limits
Recording and managing standing requires program-level academic-progress management permission or program administrator status.
Learners see only their own status, dates, reason, review date, and decider. Committee notes, remediation plans, and system flags are excluded from their view at the database level.
Standing history cannot be hard-deleted. The decision trail is preserved.
Dismissal reasons and risk details on at-risk dismissals are hidden from learners at the database level. Administrators read them through a dedicated admin view.
There is no predictive at-risk scoring. The program dashboard shows a rule-based at-risk list instead: learners with overdue evaluations or unexcused work-hour violations. That list is a workload signal, not a standing decision. Standing stays manual.
Standing statuses are a fixed set: Good Standing, Warning, Probation, Remediation, Dismissed. Programs cannot define custom statuses.
Common questions
Q: Can a learner see why they were placed on probation? A: They see the status, dates, and reason. Committee notes and the remediation plan stay internal to program staff.
Q: Does the platform automatically flag struggling learners? A: No. The dashboard's attention panel highlights overdue evaluations or unexcused work-hour violations, but standing itself is always decided by staff.
Q: Can we correct a standing entered by mistake? A: Permitted staff can update records. The learner's history is retained rather than erased, so the decision trail stays auditable.
