What it does
The Clinical Competency Committee dashboard prepares a program's committee to review every learner in one sitting. A readiness matrix flags who needs attention. Per-learner notes capture the discussion, and finalizing a learner's academic period locks their assessments as the official record.
Who it's for
Program directors and administrators who run competency committee reviews, and committee members who need the prepared picture per learner.
How it works
The dashboard has two tabs: Meeting and Reports.
The readiness matrix. For each learner, the Meeting tab shows current standing and the performance change since the last review, with a direction. It also shows attention flags, each with a severity: below goal, stalled progress, regression, no evaluations, or a standing change. It adds evaluation count, average score, and review readiness. Counters summarize how many learners are ready, flagged, or missing data.
Meeting notes. Each learner can carry a note tied to the meeting date, capturing the committee's observations alongside the data it reviewed.
Finalizing a period. When the committee signs off, select Finalize determinations. Confirming Finalize CCC determinations? stamps every assessment in the period with who finalized it and when. It also freezes those assessments against further edits. If new assessment data arrives after finalization, the dashboard shows a pending count, telling the committee the record is no longer complete.
Reopening. Select Re-open period to reopen a finalized period. This is a controlled action, gated by program-settings management permission and run through a secured server-side path. It is not a casual undo.
Committee reports. The Reports tab generates reports as background jobs with a preview, produced and emailed by a server process, so large reports do not tie up the meeting.
Before you start
You need academic-progress management permission to save meeting notes.
Finalizing or reopening a period needs program-settings management permission; without it, the Finalize determinations and Re-open period controls don't show.
Pick the academic period the committee is reviewing before you finalize — finalization applies to the selected period.
Do this
Open the Clinical Competency Committee page (
/performance/ccc) → you should see the Meeting and Reports tabs.On the Meeting tab, select the academic period from the period dropdown → the readiness matrix loads standing, deltas, and flags for that period's learners.
Review the flagged rows on the Meeting tab, then add a note for a learner → your note saves tied to the meeting date.
Once the committee has reviewed everyone, select Finalize determinations → the Finalize CCC determinations? dialog opens.
Select Finalize in the dialog → you should see the finalized count update to reflect every trainee that was locked.
You're done when
The dashboard shows All finalized (or a specific finalized count) for the period.
Each learner's assessments for that period are locked, with who finalized them and when recorded.
Boundaries and limits
Finalization freezes assessment edits for that learner and period at the database level. Edits stay blocked until a permitted administrator reopens the period.
Reopening requires program-settings management permission. Committee members without it cannot unlock finalized records.
Meeting notes and readiness data are staff-facing. Learners do not see the committee dashboard, its notes, or its flags.
The readiness matrix reflects data already in the platform (evaluations, assessments, standing records), not outside sources.
Reports run in the background as jobs. Very large reports arrive by email instead of loading on screen.
Finalizing locks the assessment record. It does not change grades or standing; those decisions are recorded separately.
Common questions
Q: What does "needs data" mean next to a learner? A: The learner's record is missing inputs the committee expects, typically recent evaluations. The flags column shows what triggered the attention.
Q: An evaluation came in after we finalized. What happens? A: The record stays frozen and the dashboard shows a pending count. A permitted administrator can reopen the period, add the new data, then finalize again.
Q: Can committee notes be seen by the learner? A: No. Meeting notes are internal to program staff.
