How Learners See Their Grades

What it does

Learners review their own grades on the My progress page's Grades tab, an overview with destination cards for rotations, courses, and transcript. Only published grades show results; visibility rules are enforced at the database level so a learner can never see another's grades or unreleased results.

Who it's for

Learners — students, residents, and other trainees — viewing their own academic record.

How it works

Grades is the overview: stats plus three destination cards (Rotations, Courses, Transcript). There is no secondary tab strip on that overview itself. Opening a card (or using View all on recent grades) shows that list under All grades, with a back-to-overview control and a secondary strip for Rotations, Courses, and Transcript. Each entry shows the course or rotation, score type, result (numeric score, letter grade, or status), and date. The transcript list totals cumulative GPA and credits, and can be exported as a PDF. Legacy grade links redirect here automatically.

Period. An academic-period switcher appears in the page header only on the Grades tab's overview, Rotations, and Courses lists. Transcript is locked to All years in the header instead, because it spans every academic period. Competencies, Academic standing, MSPE, and Faculty development (for educators) don't show a period control.

What appears and when. A grade appears with its result only after staff publish it. A grade that is finalized but not yet published shows as an entry without the result — you can see that a grade exists for the course, but not what it is.

Standing and competencies. The My progress page also carries an Academic standing tab (status, effective dates, reason, and review date of each decision) and a Competencies tab, alongside Grades and, for med students, an MSPE tab. None of these other tabs show the period switcher.

Before you start

  • You need a learner account. This view is scoped to your own records; there's no way to browse another learner's grades from here.

Do this

  1. Open My progress (/my-progress) → you should see tabs including Competencies, Grades, and Academic standing.

  2. Select the Grades tab → you should see the overview (stats and destination cards) grouped by rotation and course, with a period switcher in the header.

  3. Select the Rotations or Courses card → the display shows All grades with a back control and a secondary strip for Rotations, Courses, and Transcript.

  4. Select Transcript from a card or the strip → the display shows cumulative GPA, total credits, a PDF export option, and All years in the header instead of a period switcher.

  5. Select an entry with no visible result on the Grades overview page → the entry shows the course or rotation name without a score, meaning it's finalized but not yet published.

You're done when

  • Published grades show their result (score, letter, or status) next to the course or rotation.

  • A grade with no result yet still shows that an entry exists for that course, without revealing a score.

Boundaries and limits

  • Learners see their own records only. Grade access is scoped to the signed-in learner at the database level.

  • Unpublished results are never shown. Finalized-but-unpublished grades appear as result-less entries; draft grades don't appear at all.

  • Staff grading notes, imported comments, and private comments are excluded from every learner-facing read path. Non-private comments become visible only after publishing.

  • In the standing history, committee notes and remediation plans are staff-only and never appear here.

  • The learner view is read-only. Grade disputes or corrections go through program staff; there is no self-service edit or appeal.

Common questions

Q: Why does a course show a grade entry but no result? A: The grade is finalized but not yet published. The result appears automatically once program staff publish it.

Q: Can other students or residents see my grades? A: No. Grade reads are restricted to your own records at the database level. Program staff with gradebook permissions see grades for their program.

Q: Can I see comments my evaluator wrote? A: You see comments that staff did not mark private, once the grade is published. Internal grading notes are staff-only.

Q: Where do I find my GPA and total credits? A: Open Transcript from a card or the strip under the Grades tab. It totals cumulative GPA and credits and can be exported as a PDF.

Q: Why can't I change the academic period on my transcript? A: Transcript includes every academic period, so it's locked to All years. Open All grades, then Rotations or Courses, to filter those lists by period.
