Building Reports with AI in Analytics Studio

What it does

Analytics Studio is a conversational report builder. Describe the report you want in plain language, and the assistant generates it live — charts, tables, and summaries — from your program's or institution's data. Refine the result through follow-up messages, filter it, and save it as a reusable report.

Who it's for

Program administrators, program directors, coordinators, and institution administrators in the program administration or institution portal. Not available in the personal portal.

How it works

Starting a report. Open Analytics & Reports in the left menu, then Analytics Studio, and type what you want — for example, a summary of evaluation completion by trainee. You can also start from Report Templates in the same menu: a full-width table (not a card grid), with search and category filters above the rows. Each row shows the template name, category, and how often it's been used; expanding a row shows the data it's bound to and its layout. Use opens Studio with that layout already rendered and live queries running against your current program — it isn't a seeded sample. Prompt patterns, on the Patterns tab, still pre-fill a proven request you can adjust before sending.

Refining. The preview updates as the assistant responds. Undo and redo the assistant's changes, ask it to explain what the report shows, or refresh the underlying data at any time. A data panel above the preview shows which data sources the report draws from and when they were last queried.

Data models and filters. A side panel lists the data models available in your current portal — curated sets of measures and dimensions the assistant can query. When a report has live data behind it, a filter bar lets you narrow results by category-style fields (a status or a role, for example) without asking the assistant to rebuild the report.

Saving. When the report looks right, save it with a title, optional description, type (report, dashboard widget, or standalone widget), tags, and a visibility level — and optionally pin it to a dashboard in the same step. Saved reports open from the Reports list and can be reopened in the Studio for further editing.

Before you start

  • You need the program administration or institution portal, with a program, institution, or organization context active — switch context with the portal switcher if the page prompts you to.

  • Know roughly what you want to see. A specific request (who it's about, what to measure, over what period) gets a better first result than a vague one.

Do this

  1. Open Analytics Studio (/analytics/studio) → you should see an empty preview reading "Your report will appear here" and a chat input.

  2. Describe the report in the chat field (for example, "evaluation completion by trainee this quarter") and select Send → the preview panel renders charts, tables, or a summary from your data.

  3. Send a follow-up message to adjust the report — for example, to add a filter or change the chart type → the preview updates in place. If a change isn't what you wanted, select the Undo icon in the preview toolbar → the report returns to its previous state.

  4. When the report looks right, select the Save icon in the preview toolbar → the Save Report dialog opens with Title, Description, Type, Visibility, and Tags fields.

  5. Enter a Title, choose a Type and Visibility, and turn on Pin to dashboard if you want it added to a dashboard now, then select Save → you should return to the Studio and the report appears on the Reports list.

You're done when

  • The preview panel shows the report you asked for, built from real data.

  • The report appears on the Reports list with the title and visibility you chose.

  • If you turned on Pin to dashboard, the report also appears as a tile on that dashboard.

Boundaries and limits

  • Analytics Studio is available only in the program administration and institution portals. Learners and personal-portal users can't open it.

  • You must be working in a program, institution, or organization context to save a report. If no context is active, saving is blocked with a prompt to switch context using the portal switcher.

  • The assistant can query only the data models published for your portal, not the database freely. What you can see is governed by your existing data access — the Studio doesn't widen it.

  • The report structure comes from the assistant's catalog of supported components, so it can't produce arbitrary custom visuals outside that catalog.

  • Filter chips are offered for category-style fields only (text and yes/no dimensions), not numeric ranges.

  • Reports saved from the Studio are immediately final — there's no separate draft-editing workflow for a Studio save. Who can see the report is controlled by its visibility setting, not a draft state.

Common questions

Q: Do I need to know the data structure to build a report? A: No, describe what you want in plain language. The side panel lists the available data models with examples if you want to see what can be asked.

Q: Can I edit a report after saving it? A: Yes. Open it from the Reports list and choose Edit in Studio; your conversation continues from the saved state.

Q: The assistant changed my report in a way I don't like. Can I go back? A: Yes. The preview toolbar has undo and redo for the assistant's changes within your session.

Q: Why does my report show no data? A: The report queries only data within your active scope. If your current program has no records for the chosen data model, the result is empty — switch context or adjust the request.

Q: Does Use Template load sample numbers? A: No. Use opens Studio with the template layout already on the canvas and runs live queries for the current program — it does not seed the report with sample data.
