What it does
The Reports list is home to every analytics report, dashboard artifact, and widget you've saved or that's been shared with you. Search, filter, favorite, duplicate, archive, and open items; each report opens in a full-width viewer that runs its data queries live.
Who it's for
Program administrators, program directors, coordinators, and institution administrators in the program administration or institution portal. Each person sees their own reports plus what's been shared with them.
How it works
Browsing. The list has four tabs: My Reports (items you created), Shared with Me, Shared by me (a self-audit with viewer activity), and Favorites. Search by title or description, and narrow by type (report, dashboard, widget) or visibility (private, program, institution, organization). Results show as cards — creator, last-updated time, status and visibility badges, tags, and view count — 50 per page.
Card actions. From a card you can open the report, edit it in Analytics Studio, favorite it, duplicate it (the copy is a draft you own), archive it, or export it as a portable package. Draft items — typically imports and duplicates — show a Draft badge and a Publish action that makes them visible to their audience and eligible for dashboards.
The report viewer. Opening a report runs its saved data queries against current data and renders the result full width. The toolbar offers refresh, duplicate, download (CSV, Excel, or PDF), and Edit in Studio. With live data, a filter bar lets you narrow results by category-style fields without editing the report. A metadata bar shows the creation date, view count, type, visibility, and tags.
Favorites. The star on each card is personal — it affects only your own Favorites tab, not what anyone else sees.
Before you start
You need the program administration or institution portal. Personal-portal users don't have a Reports list.
Know whether you're looking for your own work or something shared with you — the My Reports, Shared with Me, Shared by me, and Favorites tabs split by that.
Do this
Open Reports (
/analytics/reports) → you should see the My Reports tab with your saved reports as cards.Enter text in the search field, or open the type and visibility filters, to narrow the list → the card grid updates to match.
Select a card's title, or the View action in its ⋯ menu → the report opens in the full-width viewer and its data queries run.
In the viewer toolbar, select Refresh to re-run the queries, or open the download menu for Download CSV, Download Excel, or Download PDF → you should see the current data or a downloaded file.
Back on the Reports list, use a card's ⋯ menu for Duplicate, Archive, or Export → Duplicate confirms with a "Duplicated" message and adds a private draft copy to My Reports.
If a card shows a Draft badge, select Publish from its menu → you should see a "Published" confirmation and the report becomes visible to its audience.
You're done when
The report you searched for opens in the viewer and shows current data.
A duplicate you made appears in My Reports as a private draft.
A report you published no longer shows the Draft badge and can be added to a dashboard.
Boundaries and limits
The Reports area is available only in the program administration and institution portals.
Archiving removes a report from the list for everyone; there's no archived-items tab to browse or restore from.
Duplicates are independent copies. Changes to the original don't flow into a duplicate, and duplicates start as private drafts owned by you.
The Shared with Me tab shows only reports shared directly with you as a person. Reports visible through a program- or institution-wide setting show up based on your access, not in that tab.
View counts track opens of the report, including your own.
Search matches the report title and description only, not the report's contents or data.
Common questions
Q: What is the difference between a report, a dashboard, and a widget in the type filter? A: Reports are full-page documents, widgets are single components meant for dashboards, and dashboard-type artifacts capture a dashboard layout.
Q: Someone shared a report with me — can I change it? A: Not directly. Duplicate it to get your own editable copy, which starts as a private draft you own.
Q: Why does a report show different numbers than it did last week? A: Reports with live data queries re-run against current data every time they open. Use the download options for a point-in-time record.
Q: Can I recover an archived report? A: The Reports list has no restore screen. If you archived something by mistake, contact your administrator or support.
