What it does
Folders in the resource library hold uploaded files, links to outside websites, and documents written directly in the platform's rich-text editor. Files are stored privately and opened through short-lived secure links, so PDFs, images, and videos preview in the app and everything else downloads safely.
Who it's for
Administrators and coordinators with management access to a folder add and maintain its contents; anyone who can see the folder can open, preview, and download what's inside.
How it works
Uploading files. Add one file or several at once; each upload shows the destination folder. Files can be up to 50 MB each, in accepted formats: PDF, Word, Excel, PowerPoint, images, video, audio, archives, and plain text. Each file's actual content is checked against its claimed type, so a misleading extension gets it rejected rather than stored.
Adding links. The Add Link button opens a dialog for a name, a web address, and an optional description. Selecting a link opens it in a new browser tab.
Writing documents. The New Document button opens a rich-text editor for content authored directly in the library — meeting notes, quick guides, policies that change often. Documents are edited in place: selecting one reopens the editor with its current content.
Opening and downloading. Selecting a file opens a preview when the format supports it — PDFs, images, and videos preview directly in the app. Any file can be downloaded; downloads use a short-lived secure link generated on request, so files are never exposed at a permanent public address.
Keeping things tidy. Items can be renamed, given descriptions, or moved to a different folder — individually or in bulk after selecting several; link addresses can also be corrected. Bulk selection also supports downloading or deleting several items at once.
Before you start
You need management access to the folder you're adding to. Without it, the upload, link, and document actions don't appear.
Open the folder you want the item in first — the upload sheet and the link and document dialogs always show that folder as the destination.
Have your file ready in an accepted format and under 50 MB; a mismatched extension or an oversized file is rejected at upload.
Do this
Open the Resources page (
/resources) and select the destination folder in the folder tree → you should see that folder's contents on the right.Select the Upload Files button → the Upload Files sheet opens, showing the folder as the Destination.
Select or drag one or more files into the sheet → each one is listed with its name and size, and the Upload button shows the count.
Select the Upload button → each file's status in the list updates to complete, or shows an error if it's rejected.
Close the sheet → confirm the files now appear in the folder's contents list.
You're done when
Every file you uploaded shows in the folder's contents with the right name and size.
A rejected file shows an error explaining why (size, format, or a content mismatch), and you can remove it and try a different file.
A link or document you added the same way appears in the folder and opens correctly when selected.
Boundaries and limits
Maximum upload size is 50 MB per file; empty files are rejected.
Only allowed formats upload: PDF, Word, Excel, PowerPoint, common image/video/audio formats, ZIP/RAR/7z archives, and text formats like TXT, CSV, HTML, and Markdown. Executables and other unlisted formats are refused.
A file's extension must match its actual content type; mismatches are rejected at upload.
File names are sanitized on upload — unusual characters become underscores, and names are capped at 255 characters.
In-app documents are limited to 1 MB of content, with formatting sanitized for safety.
In-app preview covers PDFs, images, and videos only; other formats must be downloaded to open.
Download links expire quickly (about a minute for downloads, five for previews); a fresh link generates each time.
Items move only between folders in the same library scope — you can't move a program folder's file into an institution folder this way.
Bulk move and bulk delete handle up to 100 items per action.
Only links can be duplicated in place; files and folders can't be copied within the library.
Folders can't be downloaded as a unit; bulk download fetches the selected files one at a time.
Common questions
Q: Why was my file rejected even though it's a normal document? A: The usual causes are size over 50 MB, an extension that doesn't match the file's real content, or a format not on the accepted list. Renaming the extension won't help — the content itself is checked.
Q: Can I upload a video for orientation? A: Yes. MP4, MOV, and AVI files upload, and MP4-style videos play in the in-app preview, subject to the 50 MB limit. Longer recordings may fit better as a link to your video platform.
Q: Is there a way to copy a file to a second folder? A: Not currently. You can move a file to another folder in the same library, but copying is only supported for links. For a file needed in two places, consider a link pointing to the canonical copy.
Q: Are uploaded files publicly accessible if someone guesses the address? A: No. Files live in private storage, and every open or download goes through a short-lived link generated for the requester.
