What it does
Each person's profile carries a structured record of their education and training — school and degree, prior residency or fellowship programs, year-by-year funded training under each, documented gaps, and where they went after your program.
Who it's for
Program administrators, coordinators, and institution administrators keep trainee records for accreditation, funding, and checks; people also view and keep up their own records.
How it works
The Education tab of a profile brings together training progress and school history:
Rotation history — a progress strip plus a table of clinical rotations: status, dates, site, grade, and eval/case counts. Opening a rotation shows site details, competencies, evaluations, and case logs in a side panel.
School education — medical and pre-medical entries record the school, its location, the degree, and graduation date. A certification identifier for internationally trained graduates can go on a medical-school entry.
Prior residency and fellowship training — each program records the institution, specialty, location, start and end dates, an accreditation code, its type (residency or fellowship), whether it's the initial residency program, and whether it's current. The primary or current program can also carry an employer site and a reporting time commitment.
Training years and gaps — year-by-year funding (year label, dates, funded flag, external site, displaced-resident status) and documented interruptions live on that program, opened from it, not as a second timeline. A gap may belong to a different prior program than the current one.
Post-training placement — where the person went after the program. This card always shows; adding or changing it needs people-edit permission.
Empty school, undergraduate, or GME records show as short "Not added" lines in one Credentials section, not as separate empty cards.
Entries are added and edited through forms on the profile while the profile is in edit mode. Date ranges are validated — an end date can never precede its start date. Removing a school, program, year, or gap asks for confirmation first.
Before you start
Individuals can add and edit their own school and prior-program entries. Administrators need people-edit permission to change anyone else's.
Only administrators with people-edit permission can add or change a post-training placement.
Do this
Open a person's profile (
/users/profile/:userId) and select the Education tab → you should see the rotation timeline with credentials below it.Select the Add Medical School, Add Undergraduate, or Add GME Program button for the record you need → the matching form opens.
Fill in each field on the form with the school or program details, then save → the entry shows under Medical Education, Pre-Medical Education, or GME Program History.
For a GME entry that is the person's main program, check the Initial residency program field on the form → the entry is flagged as their initial residency program.
You're done when
✓ The new entry appears under the correct section on the Education tab.
✓ A GME entry you marked shows Initial residency program.
✓ A removed entry no longer appears, and the confirmation you gave is reflected immediately.
Boundaries and limits
These are history records only. They do not create schedules, enrollments, or funding transactions anywhere else.
An end date must fall on or after its start date. An invalid range gets rejected at entry.
Access is checked at the database. People view and edit their own entries. Admins need view permission to read and edit permission to change records. Only an admin with edit permission can touch a post-training placement.
School, degree, dates, and program name are the core fields here. Certification numbers, notes, gaps, codes, and job details are extra detail.
Deleting an entry is a soft removal. It leaves the profile but is not destroyed. Removing a year or gap updates that program's year list, not the program itself.
Lists cap at 50 entries per record type on the profile.
Records stay with the person, not a program, across program moves.
Common questions
Q: Can residents fill in their own education history? A: Yes, for school and prior residency or fellowship programs, in edit mode. Administrators can manage those too. Only an administrator can record a post-training placement; residents can view it but not add it.
Q: Where do I document a leave that interrupted training? A: Add a training gap on the relevant prior program, with dates and a description. That's separate from the person's live status — gaps record history, status changes drive the present.
Q: What is the "Initial residency program" checkbox for? A: When a person trained in several programs, one entry gets marked this way to flag their main training program.
Q: Do training years affect scheduling or payroll? A: No. They're records for funding and verification. They don't drive schedules or payments anywhere in the platform.
