People Directory and User Profiles

What it does

The people directory is the searchable, filterable list of everyone in your scope. Open any row to see a full profile with contact details, education, activity, documents, and program information in tabs.

Who it's for

Program, institution, and organization administrators, scoped to their own program, institution, or organization access.

How it works

The directory loads people from the server in groups, so it stays fast at any roster size. It starts with 50 people and lets you choose 25, 50, or 100 under Rows per page. Select Load more people to fetch the next group. You can:

  • Search by name or contact details, and sort by name, email, role, home institution, program, class year, or status.

  • Filter by role, group, program, home institution, affiliated institution, class year, site, and status (active, inactive, pending). More Filters summarizes active chips. Saved filter sets can be reused, and AI filter suggestions can be reviewed before applying.

  • Choose columns to show, and use keyboard shortcuts (press ? for the list).

  • Select multiple people and act in bulk: activate, deactivate, add to a group, or generate QR badges. Checkbox selection covers people currently loaded unless you choose Select all (with the matching count).

Clicking a person opens their profile, organized into tabs — About, Education, Activity, Work Hours, Cases, Attendance, Exams, Documents, and Notes. Profile editing happens on the About tab: names, contact details, demographic fields, addresses, and identifiers can be edited inline by people with edit access, and a profile photo can be uploaded or removed there too.

Directory lists can be exported. Larger exports run as background jobs that prepare a file server-side; when the job completes you download the file through a time-limited link.

Before you start

  • You need program, institution, or organization access to see anyone in that scope — there is no browsing outside it.

  • Editing a profile needs edit access; without it, the About tab is read-only.

Do this

  1. Open the People page (/users) → you should see the directory with search and filters.

  2. Search by name, or open More Filters and set a role, program, institution, or status filter, then apply it → the list view shows only matching people.

  3. Select a person in the list view → you should return to their profile on the About tab.

  4. On the About tab, select Edit Profile (pencil icon) → the tab switches into edit mode with Save Changes and Cancel buttons.

  5. Update the fields you need — for example a name, phone number, or address — then select Save Changes → the About tab shows your updated values.

  6. To act on several people at once, select their checkboxes in the list view and choose an action from the bulk actions bar → a confirmation step opens before anything is activated, deactivated, grouped, or badged.

You're done when

  • ✓ The person you searched for appears in the filtered list view.

  • ✓ Their profile's About tab shows the values you just saved.

  • ✓ A bulk action you confirmed shows the updated status or membership for every person selected.

Boundaries and limits

  • Visibility follows access rules enforced at the database level. A person always sees their own profile. Administrators see only people in their delegated program, institution, or organization scope.

  • The directory never loads the whole roster at once. It fetches 25, 50, or 100 people per load (50 by default); Load more people fetches the next group.

  • Checkbox selection covers people currently loaded unless you choose Select all (with the matching count).

  • Group by is only available when the filtered list fits in one load at the current Rows per page size — narrow your filters to enable grouping.

  • A person's login email is not editable from the inline profile editor. It is system-managed.

  • Bulk QR badge generation is limited to 100 selected people at a time.

  • Background export downloads use expiring links. A completed export is not available indefinitely.

  • The Work Hours, Cases, Attendance, and other activity tabs show data owned by their own features. The profile is a read surface, not where that data is managed.

  • Deactivated (soft-deleted) records are excluded from lists and lookups.

  • AI filter suggestions are review-first. They do not change the directory until applied. Suggestions use safe static options like status and user type; names are not sent to the AI model.

Common questions

Q: Why can't I find a person in the directory? A: They are outside your scope, or inactive and excluded by your status filter. Check the status filter first.

Q: Can I edit someone's email address from their profile? A: No. The login email is system-managed.

Q: Can I act on many people at once? A: Yes. Select rows in the directory and use the bulk actions bar to activate, deactivate, add to a group, or generate QR badges. Row checkboxes cover people currently loaded; use Select all (with the matching count) when the action should cover everyone who matches the current filters.

Q: Our program has thousands of people. Do I scroll through all of them? A: No. Search and filter to the people you need. The list loads 50 at a time (you can choose 25, 50, or 100). Use Load more people only when you need the next group of matches.

Q: Do saved filters follow me between sessions? A: Yes, filter sets you save on the people table are stored for reuse.
