Group Membership — Adding and Removing People

What it does

Group membership defines who belongs to each group. Manage members from the group's detail view — searching, adding in batches, removing — or in bulk from the People directory by selecting several people and adding them to a group in one action.

Who it's for

Institution administrators, program administrators, and coordinators with the groups manage permission change membership; anyone who can see a group can see its member list.

How it works

Open a group from the Groups directory to see its member list, with each person's name, email, and role. The list is searchable by name, email, or role and paginates for large groups.

Adding members. Use the Add members button. The picker searches active users — for a program-scoped group, only people in that program — and hides anyone already a member. You can select several people and add them in one batch.

Removing members. Removal asks for confirmation and takes the person out of the group immediately. It is recorded rather than erased, so the same person can be added back later without conflict.

From the People directory. Select multiple people and use the Add to Group bulk action to place them all into a group you pick. The People directory can also show a Groups column, so you can see each person's memberships at a glance.

Before you start

  • You need the groups manage permission to add or remove members. Viewing the member list only needs access to the group.

  • The add-members picker only shows active users. For a program-scoped group, it only shows people in that program.

Do this

  1. Open a group from the Groups page (/users/groups) → you should see the group's detail sheet with its member list.

  2. Select Add Members on the sheet → the Add members to dialog opens with a search field and the picker.

  3. Search for people, then check the boxes next to the ones you want in the dialog → a selected count badge appears.

  4. Select Add Selected (n) → you should return to the detail sheet and see the new members in the list.

  5. To remove someone, point at their row in the list and select the remove icon → the Remove member dialog opens; select Remove member again to confirm → the person leaves the list immediately.

You're done when

  • ✓ Each person you added appears in the group's member list with their name, email, and role.

  • ✓ A removed member no longer shows in the list, and their user account is unaffected.

  • ✓ The People directory's Groups column reflects the updated membership.

Boundaries and limits

  • Adding members does not enforce the group's maximum size; the group is flagged over capacity instead of blocking the addition.

  • The add-members picker only offers active users — deactivated accounts do not appear.

  • For program-scoped groups, the picker limits candidates to people in that program.

  • Adding someone already an active member is skipped silently; no duplicate membership is created.

  • Removing a member does not notify the person and does not change their account, roles, or program membership.

  • Changing membership requires the groups manage permission at the group's scope (institution or program); viewing only requires access to the group.

Common questions

Q: Can a person belong to more than one group? A: Yes. There is no limit, and the People directory's Groups column lists all of them.

Q: Can someone be re-added after being removed? A: Yes. Removal ends the membership but keeps the history, and they can be added again at any time.

Q: Why can't I find someone in the add-members picker? A: Check that the account is active, that they belong to the group's program (for program-scoped groups), and that they are not already a member — existing members are hidden from the picker.

Q: Do members get notified when they are added to a group? A: No. Neither the add nor remove action sends a notification.
