What it does
Curriculum Setup (/curriculum/manage-data) holds the vocabularies your curriculum is described with: session types, instructional methods, assessment methods, themes, and keyword sets with their keywords. Keywords and themes are tagged onto sessions — manually or with AI-suggested tagging on Keyword Tagging (/curriculum/keyword-tagging) — so you can analyze what the curriculum actually covers.
Who it's for
Program administrators and directors who own the curriculum vocabulary and mapping. Vocabularies can be shared institution-wide or scoped to a single program. Program managers can edit program-scoped lists; institution-shared lists need institution manage access.
How it works
Curriculum Setup has four sections: Reference lists, Keywords, Coding rules, and Learners. Coding rules and learner progress visibility need an active program selected.
Reference lists. Session types, instructional methods, assessment methods, and themes are managed as simple lists with names, codes, descriptions, and (for session types and themes) colors. Each entry is either shared across the institution or scoped to one program, and can be deactivated without being deleted. Switch between Institution Library and Current Program to change which rows you manage.
Keyword sets. Keywords live inside sets — for example, a standard vocabulary or a home-grown taxonomy. Keywords support hierarchy (parent/child relationships), plus categories, synonyms, and excluded terms. Like reference data, keyword sets are either institution-wide or program-scoped.
Tagging sessions. Keywords and themes attach to individual sessions; tags can be added and removed manually, and tagged sessions feed curriculum coverage views such as Keyword Tagging. Keyword chips on session lists and details show the full ancestor path (root to parent) above the leaf name, so you can place a tag in the vocabulary without opening Curriculum Setup.
AI-assisted tagging. On Keyword Tagging, select AI Tag Sessions to queue a background job for the program (optionally against a specific keyword set). The job works through the program's sessions, suggests keyword mappings, and reports progress processed out of the total. Only one run per program and keyword set is active at a time — starting a new run while one is queued or processing returns the existing run, and you can pause, resume, retry, or cancel it. A person then approves or rejects each suggested mapping; the decision is recorded server-side.
Before you start
Pick the right scope first — Institution Library or Current Program — before adding reference data or keywords.
AI tagging needs an active program and, for a scoped run, a chosen keyword set.
Do this
Open Curriculum Setup (
/curriculum/manage-data) and select the Keywords tab → confirm the section shows your keyword sets.Switch to Institution Library or Current Program in the scope dropdown → confirm the list refreshes to that scope.
Select Add Keyword (or Add Keyword Set) in the toolbar → confirm a new-entry field opens.
Enter the name and any parent, category, or synonym details in the field, then save → confirm the new entry appears in the list.
Open Keyword Tagging (
/curriculum/keyword-tagging) and select AI Tag Sessions → confirm the button shows Starting... and then a progress count of sessions processed.Review suggested mappings on the Keyword Tagging display and approve or reject each one → confirm approved mappings show as tagged on the session.
You're done when
✓ The reference list or keyword set you added shows up in Curriculum Setup under the scope you chose.
✓ An AI tagging run shows a Completed status with processed, succeeded, and failed counts.
✓ Approved keyword suggestions show as tags on the session's detail page.
Boundaries and limits
Vocabulary scope is two-level only: shared institution-wide or scoped to one program. There is no organization-wide or cross-institution vocabulary tier in this workspace.
AI tagging suggests mappings; it doesn't auto-approve them. A person reviews and approves or rejects each suggestion, and the decision is recorded.
Only one AI tagging run can be active per program and keyword set; a duplicate start returns the run already in progress.
Deactivating a keyword, set, theme, or type hides it from pickers without deleting the tags already using it.
Keyword tags apply to sessions; there is no course-level or program-level keyword tag in this workflow.
Common questions
Q: Can two programs share the same keyword vocabulary? A: Yes — create the keyword set at institution scope and every program in the institution can use it. Program-scoped sets stay private to their program.
Q: Does the AI tag my sessions automatically? A: It suggests tags. Suggestions sit in review until someone approves or rejects them, and each decision is logged.
Q: What happens to sessions tagged with a keyword I deactivate? A: Existing tags remain; the keyword simply stops being offered for new tagging.
Q: Can I start a second AI tagging run while one is still processing? A: No. The platform returns the run already in progress; start a new one after it finishes, or pause, retry, or cancel the current one first.
