Site Rotators and Site Survey Reports

What it does

Clinical Schedules Analytics brings the site-side schedule reports into one place. Site Rotators lists everyone rotating at your sites for a chosen schedule — who, which rotation, which site, which block, and when. Site Survey answers "who is physically at this site on this specific date?", including people placed through shifts as well as blocks.

Who it's for

Program administrators and coordinators reconciling placements with training sites, and site directors who need rosters of incoming and current rotators for their location.

How it works

Site Rotators. Open Clinical Schedules > Analytics and choose the Site Rotators tab. Each row is one placement: person, rotation, site, block, start/end dates, and status. Narrow the result by date range, one or more sites, specific rotations, and name search, then sort by any column. Large programs page through the loaded report results.

Site Survey. Works from a single date instead of a range: pick the day and optionally a site and rotation, and it lists everyone placed there that day with role and contact details, drawing from both block rotations and shift assignments for complete day-level coverage.

Schedule Lookup. Faculty and staff who are not schedule administrators get the same day-level roster in their personal portal. It opens on today's date, filters by date, site, and rotation, shows each person's rotation with email and phone, and links each name to their profile. Access is permission-gated (roster view), granted to faculty by default and grantable to staff; students do not have it.

Before you start

  • You need detailed schedule reporting access in your scope for Site Rotators, or the roster view permission for Schedule Lookup.

  • Pick your schedule first — Site Rotators reports on one schedule at a time.

  • For a one-day headcount, use Site Survey or Schedule Lookup instead of Site Rotators' date range.

Do this

  1. Open Clinical Schedules > Analytics (/schedules/analytics) and select the Site Rotators tab → you should see placements for the selected schedule.

  2. On the same tab, filter by date range, site, rotation, or name search, then sort any column → the table updates to match.

  3. To see one day's headcount instead, switch to the Site Survey tab and pick a date, and optionally a site and rotation → you should see everyone placed there that day, from both block rotations and shifts.

  4. Select the export action on the report you're viewing → Site Rotators downloads the current data; Site Survey opens for printing.

  5. If you are faculty or staff without admin access, open Schedule Lookup in your personal portal instead (/schedule-lookup) → you should see today's roster with each person's rotation, email, and phone.

You're done when

  • The rows you see match your filters — schedule, date range or date, sites, and rotations.

  • A downloaded or printed report reflects the same filtered rows shown on screen.

  • Someone looking for a day-level roster without admin access can find it in Schedule Lookup.

Boundaries and limits

  • Site Rotators requires a schedule to be selected first; it reports one schedule at a time, not across all schedules.

  • The Site Survey is a one-day snapshot; pick a different date to see a different day. It does not produce a multi-day roster.

  • Site Rotators can download the current report data from its export action. Site Survey can be printed; its export is not a completed download workflow yet.

  • Site Rotators is read-only, usable by people with detailed schedule reporting access for their scope; it does not require schedule configuration edit access.

  • Both reports are read-only. Correcting a placement happens in the schedule grid, not in the report.

  • Rows reflect assignments recorded in the platform; placements arranged outside it do not appear.

  • Very large Site Rotators result sets are constrained by the loaded report data and paged in the table.

Common questions

Q: Can a site director see these reports themselves? A: Yes, when they have been granted reporting access for their scope. Otherwise coordinators typically export or share the roster with the site.

Q: Can faculty look up who is on rotation without admin access? A: Yes. Schedule Lookup shows the same one-day roster with contact info for anyone holding the roster view permission. It covers block rotation placements only and never shows emergency-contact details.

Q: Does Site Survey include people on shifts, not just block rotations? A: Yes. It merges block-based placements and shift assignments for the chosen date, so overnight and day coverage both appear.

Q: Why is someone missing from the Site Rotators report? A: Check that their assignment has a site and falls inside the selected schedule and filters. Assignments without a site attached cannot be grouped under one.

Q: Can I report across two schedules at once? A: Not in one view — run the report per schedule. Combining cohorts usually means running it for each cohort's schedule.
