What it does

Clinical Schedules Analytics is the reports home for schedule operations: Site Rotators for live coverage, Rotation Roster for the monthly roster, Teaching Credit for shift-based faculty credit, and Block Audit for block schedule changes.

Who it's for

Program administrators and coordinators use Analytics to see where learners and faculty are scheduled; site directors use it to see who is at their site for a date or period.

How it works

Open Clinical Schedules > Analytics. It defaults to Site Rotators, and each tab has a shareable URL.

Site Rotators. Shows rotation assignments, shift assignments, or both. Its one-day preset covers the old Site Survey job, so there's no separate Site Survey tab. Supports server-side search, filtering, sorting, and paged results, then exports the visible rows.

Rotation Roster. Opens to the current month, grouped by rotation and site. Expand a group to see who's assigned, their block, and their dates. Export downloads the visible roster groups only; full filtered export is a future server job.

Teaching Credit. Shift-based credit only, from selected faculty or preceptor roles, shown as a faculty summary table. Open an evidence sheet for the shifts and learners behind a row. Export the visible legacy-shaped CSV or the visible evidence rows.

Block Audit. Reads block_schedule_logs, filtered by action date, schedule date, action, and search. The read-only table shows action, individual, rotation/site, old values, schedule dates, changed-by, enrollment, audit state, and visible-row export.

Before you start

  • You need detailed schedule visibility or reporting access in your scope — schedule configuration edit access is not required for Site Rotators or Rotation Roster.

  • Know which report answers your question: Site Rotators for live coverage, Rotation Roster for the current month's roster, Teaching Credit for shift-based faculty credit, Block Audit for a change history.

  • Site Rotators and Rotation Roster respect your existing schedule permissions — Analytics does not grant broader access than you already have.

Do this

  1. Open the Analytics page (/schedules/analytics) → you should see the Site Rotators tab selected by default.

  2. Select the tab for the report you need — Site Rotators, Rotation Roster, Teaching Credit, or Block Audit → the URL updates and the matching report loads.

  3. On the Site Rotators tab, filter and sort the report, or apply the one-day date preset to cover a single-day survey → the table updates to match your filters.

  4. On the Rotation Roster tab, expand a rotation-and-site group → you should see who is assigned, their block, and their assignment dates.

  5. Select the export action on the report you're viewing → you should see a downloaded file of the visible rows.

You're done when

  • The report tab you need is open and its URL can be bookmarked or shared.

  • The rows on screen match your filters — date range, sites, rotations, or search term.

  • Your exported file contains the visible rows you meant to share.

Boundaries and limits

  • Analytics is a schedule-reporting home, not a general analytics builder.

  • IRIS, GME finance reports, and Conference Credit are not included here.

  • Site Rotators and Rotation Roster are read-only and need detailed schedule visibility/reporting access, not schedule configuration edit access.

  • Analytics respects each user's existing schedule permissions and scope; it never grants broader data access.

  • Teaching Credit is shift-based only in this release; rotation-overlap credit is deferred.

  • Teaching Credit, Rotation Roster, and Block Audit exports are visible-page exports only; full filtered export is a future server job.

  • Block Audit is read-only in this release, with no mutable audited/enrolled controls.

  • Site Survey is no longer a separate tab — use Site Rotators with the one-day preset.

  • Analytics does not add a global export center.

  • Existing direct links to Site Rotators and Site Survey still work.

Common questions

Q: Why did Site Rotators move under Analytics? A: It groups related schedule-reporting questions in one destination, without removing the old direct links.

Q: Can I bookmark a specific report tab? A: Yes. Analytics tabs use URL parameters, so links open Site Rotators or another report tab directly.

Q: Where did the Site Survey tab go? A: It's now covered by Site Rotators. Choose the one-day preset and include shifts to see who is at a site on a specific day.

Q: Is Teaching Credit ready to use? A: Yes, for shift-based credit — calculated from faculty/preceptor and learner co-assignment on the same shift. Rotation-based credit isn't included yet.

Q: Can I edit audited or enrolled status from Block Audit? A: No. Those states are read-only; changing them needs a separate approval and audit workflow.
