What it does
The personal portal gives every schedule participant their own view of rotations. Learners see their published assignments grouped by academic year, with their current and next rotation highlighted. Faculty see the rotations they supervise with the learners on each, and rotation coordinators see the rotations they help run — all from the same My Rotations workspace.
Who it's for
Learners following their own schedule, faculty supervisors tracking who they are supervising, and coordinators with delegated responsibility for specific rotations. Each person sees only the views that apply to them.
How it works
My Schedule (learners). Your rotations are grouped by academic period, newest first. Each entry shows the rotation, site, block, dates, enrolled status, and status. A linked gradebook rotation appears under the rotation name. SIS section and class columns show only when at least one loaded assignment has that data. The view flags your current and next rotation. Unconfirmed future assignments offer a change-request action. If a request is already pending or denied, a status chip opens the Requests tab instead. Clicking a rotation opens a contact sheet with site details, leaders, faculty, and resources. It does not show capacity or admin catalog tools.
My Rotations (faculty and coordinators). The workspace adapts to your roles. Supervisors see rotations bucketed as active, recently ended, and upcoming, with a date-range browser for past rotations. Each shows its learner roster and outstanding evaluation work. Coordinators see rotations delegated to them, with entry points matching their specific permissions — viewing, editing, capacity, assigning supervisors, or reports. People with both roles get both, side by side in tabs.
Before you start
You need to be a participant, supervisor, or delegated coordinator on a published schedule to see anything in these views.
A change request only works on an unconfirmed, future assignment — check the Requests tab if you already asked for one.
Contact details on a rotation come from its site and faculty records — this view does not manage them, it only displays them.
Do this
Open My Schedule (
/my-schedule) → you should see your rotations grouped by academic period, with your current rotation highlighted.Select a rotation card → a contact sheet opens with site details, site leaders, faculty, and resources.
If the rotation is unconfirmed and in the future, select Request Change on its card → the change-request form opens for that assignment.
If a request is already pending or denied for that assignment, select its status chip instead → you should return to the Requests tab with that request open.
Faculty and coordinators: open My Rotations (
/my-rotations) → you should see a Supervising tab, a Coordinating tab, or both, each with a live count.
You're done when
Your current and next rotation are clearly marked on My Schedule.
A rotation's contact sheet shows its site, leaders, faculty, and resources.
A change request you submitted shows up on the Requests tab with its current status.
Boundaries and limits
Learners see only assignments from published schedules. Drafts, hidden, and archived schedules never appear, even if assignments exist there.
The learner view is read-only apart from change requests, offered only for unconfirmed, future assignments. A pending or denied request shows a status chip that opens the Requests tab instead of a new-request action.
Clicking a rotation opens contact and logistics info (site, leaders, faculty, resources). It does not show capacity planning or the admin rotation catalog.
Site employer is not shown on the contact sheet.
A supervised rotation that has ended stays in the live view for about two weeks, longer with outstanding evaluation work. It then moves to the past-rotation browser, which looks back six months by default and further on request.
Coordination access comes from an active delegated assignment with set dates. Outside those dates, the rotation drops out of the coordination view.
A coordinator's actions are limited to their delegation's permissions. Seeing a rotation listed doesn't mean they can edit its schedule.
Common questions
Q: My schedule looks empty — where are my rotations? A: Your program's schedule may not be published yet, or your assignments may sit in a schedule you're not a participant of. Ask your coordinator to confirm both.
Q: I supervise and coordinate — do I need two pages? A: No. My Rotations shows a Supervising tab and a Coordinating tab together, each with live counts.
Q: Why did a rotation disappear from my supervision list? A: It ended and its grace window passed with no outstanding evaluation work. Find it in the past-rotations browser with a date range.
Q: Can I export or print my schedule? A: Your assignments are listed by academic period for easy review; for a distributable grid of the whole cohort, coordinators can share a read-only schedule link.
