What it does
My Portfolio is each learner's personal, evidence-based learning portfolio. On one page, it collects entries, tracks domain or competency coverage, shows prescribed-requirement progress when configured, and offers a private Showcase preview of submitted and reviewed work.
Who it's for
Learners in the personal portal, and program managers with settings permission who configure portfolio profile settings on this workspace.
How it works
Entries can be reflections, procedures, cases, research, teaching, or other work. Everything lives on one page. Entries, scholarly work, showcase, and settings appear as cards and panels, not separate tabs. A summary banner at the top shows your entry, scholarly, and showcase counts plus a management-health score. It carries New portfolio entry, Add scholarly work, and Print showcase only buttons.
Below the banner, filter chips — All entries, Working, Validated — narrow the Portfolio entries card to one custody folder. The card lists entries with its own search box and Entry type/Status filters. Selecting an entry opens it for editing while it is still Working. Validated entries open read-only.
Further down the page, the Showcase portfolio preview card is a private, learner-controlled preview of your strongest evidence for residency and career conversations. It lists submitted, reviewed, or validated entries with readiness counts. Select Copy summary for a text summary, or Print showcase only for a print-formatted view. Public share links are not part of this surface.
A Notes panel in the sidebar links out to the learner's profile notes, keeping private longitudinal notes out of validated entries.
Program managers can open Portfolio settings in the sidebar. It sets the profile (competency-evidence or formation-identity), who may validate (permission + supervision or advising-group mentors), default privacy, and an optional framework adoption for domain tags.
Before you start
Nothing to set up — your portfolio is created the moment you first open My Portfolio in a program.
Program managers need program-management permission to see and change Portfolio settings; learners never see that panel.
Do this
Open My Portfolio (
/my-portfolio) → you should see the summary banner, the custody filter chips, and the Portfolio entries card.Select a filter chip — All entries, Working, or Validated — to narrow the list → the Portfolio entries card updates to that folder.
Use the card's search box or Entry type/Status filters to find a specific entry → the list updates as you type or choose a filter.
Scroll to the Showcase portfolio preview card → you should see readiness counts and any entries that are submitted, reviewed, or validated.
Select Copy summary to copy a text list of showcase entries, or Print showcase only to open the browser print view → confirm a toast or the print dialog appears.
You're done when
✓ The Portfolio entries card shows the entries you expect for the selected folder and filters.
✓ The Showcase portfolio preview card lists your submitted, reviewed, and validated entries with a readiness count.
✓ Copy summary confirms with a success message, or Print showcase only opens the print dialog.
Boundaries and limits
The portfolio is scoped to your current program. Switching programs shows that program's portfolio, not a combined view.
The Showcase is private. There are no public sharing links or redacted exports — only the copied text summary and your browser's print preview.
Draft entries never appear in the Showcase. Only submitted and reviewed/validated entries qualify.
Competency coverage uses the program's configured tags (default six core competencies unless a framework adoption is set).
Validated entries are institution-vouched and sealed. They stay visible but are not editable from My Portfolio.
Program administrators can view portfolios and entries for learners in their program, including private entries for duty-of-care. The My Portfolio page itself is the learner's own view.
Mentors never see private entries.
Common questions
Q: Do I need to create my portfolio before adding entries? A: No. Your portfolio is created automatically the first time you open My Portfolio in a program.
Q: Who can see my Showcase? A: Only you. It's a preview for your own use; there are no sharing links. You can copy a summary or print it yourself.
Q: Why doesn't my newest entry show in the Showcase? A: The Showcase only includes entries that are submitted or reviewed. Submit it and it will appear.
Q: I work in two programs. Where did my entries go? A: Each program has its own portfolio. Switch your active program to see the entries you logged there.
