Institution Profile, Branding, and Settings

What it does

Each institution has an editable profile: name, address, phone, website, plus branding (logo and brand colors). It also has a set of defaults grouped by area — academic, demographics, work hours, evaluations, login, notifications, scheduling, wellness, documents, and regional preferences. The logo shows across the platform for that institution, including its login page.

Who it's for

Institution admins with institution-management permission maintain their own institution, org admins can edit any institution from the organization portal, and institution members can view settings read-only.

How it works

Profile fields. Edit the institution's identity and contact fields from the institution profile page, or from the org portal's institution detail page. Changes save directly to the institution record.

Branding. Set a primary and secondary brand color for the institution. They show on the institution's Branding tab, next to the logo.

Institution defaults. The defaults page sets regional preferences (timezone, date format, phone country), demographic rules (for example requiring a class year on profiles), and scheduling defaults such as the standard block length. Other groups — notifications, reminder lead times, work-hours timing, and a support contact — save through the same validated settings from their own pages. Changing the reminder lead time also updates each of the institution's programs, so notifications stay consistent.

Before you start

  • You need institution-management permission to change the profile or upload a logo. Without it, the page redirects you away.

  • Have your logo file ready as a JPG or PNG, no larger than 5 MB.

Do this

  1. Open the /settings/institution-profile page → the Basic Information card loads with the logo uploader and name field.

  2. Select the Upload button on the logo area (or drag a file onto it) → expect a short upload progress bar, then a "Logo uploaded" message.

  3. Fill in the Institution Name field, then the Address, City, State, Postal Code, and Country fields in the Address card → each field keeps your typed value.

  4. Fill in the Phone Number and Website URL fields in the Contact & Web card → both fields keep your typed value.

  5. Select the Save Profile button at the bottom of the page → confirms your changes and the page shows your saved values.

You're done when

  • ✓ The institution's logo shows in the upload area and across the platform for that institution.

  • ✓ The Save Profile button is disabled again, meaning there's nothing left to save.

  • ✓ The updated name, address, phone, or website show the next time you open the page.

Boundaries and limits

  • Editing the profile or settings needs institution-management permission. Members without it see settings read-only.

  • The upload text still lists JPG, PNG, WebP, and SVG, but the uploader now only accepts JPG and PNG, up to 5 MB. Other formats are rejected. This is a known copy mismatch, not a setting you can change.

  • Logo links are short-lived signed URLs. A copied logo link is not a permanent public address.

  • Defaults have validated ranges. Reminder lead time must be 1–365 days. A custom sender needs a name and a valid email. A support contact needs a phone number or a valid email. The work-hours reminder delay must be 0–90 days. The scheduling block length must be a supported week value: 1, 2, 3, 4, 5, 6, 8, 10, 12, or 13.

  • Institution defaults don't overwrite every program setting. Only the reminder lead time pushes down to programs. Other program settings are managed per program.

Common questions

Q: What logo file works best? A: A JPG or PNG under 5 MB. A transparent PNG usually renders cleanest at different sizes.

Q: I changed the reminder lead time — do programs pick it up? A: Yes. The matching case and evaluation reminder defaults on each of the institution's programs update to the new value.

Q: Why did my settings save get rejected? A: A value was out of range — for example a reminder lead time outside 1–365 days, or a custom sender without a valid email. The message names the field to fix.

Q: Can everyone at the institution see these settings? A: Institution members can view them. Changing them needs institution-management permission.
