Messaging Administration and Channel Oversight

What it does

The messaging admin workspace gives administrators a scope-wide view of channel activity — member counts, message volume, and open tickets — with tools to search, filter, edit settings, and archive channels in bulk.

Who it's for

Program, institution, and organization admins each manage their scope's channels from their own portal; day-to-day channel membership stays with each channel's owners and admins.

How it works

Activity overview. The workspace opens with summary statistics for the scope: total and active channels, unique members, total messages, messages in the last 24 hours, and open ticket count. Each channel row shows its own numbers too — active participants, message count, recent activity, and open tickets on its threads.

Finding channels. The channel table supports text search on channel names, a status filter (active or archived), and sortable columns for members, activity, and status.

Managing channels. Each row's action menu offers View Channel, Settings, Manage Members, and Archive (Unarchive for an archived channel). The Channel Settings sheet's Posting access toggle puts a channel into read-only mode — members can still read, but not send — when turned off. Selected rows can be bulk-archived or bulk-unarchived, with a confirmation step.

Before you start

  • You need administration access to the portal that matches the scope you want — program, institution, or organization.

  • This workspace does not cover direct messages or group conversations; there is nothing to configure there.

Do this

  1. Open your portal's messaging admin workspace (/administration/messaging/admin, or the matching institution or organization route) → you should see summary statistics above a channel table.

  2. To find a channel, enter a term in the search field, or set the status filter to Active or Archived → the table narrows to matches.

  3. Open a channel row's action menu and select Settings → the Channel Settings sheet opens with the channel name, visibility, and Posting access toggle.

  4. In the sheet, turn Posting access off to make the channel read-only. Turn it on to allow posting again → the description text confirms the new state.

  5. To archive several channels at once, select their row checkboxes, then select Archive in the bulk action bar. Confirm in the dialog → the channels move to Archived status.

You're done when

  • ✓ The channel's row shows the status you set — Active or Archived.

  • ✓ A read-only channel accepts no new messages until Posting access is turned back on.

  • ✓ The summary statistics reflect the channels currently in scope and filter.

Boundaries and limits

  • The workspace covers channels and support threads only — administrators do not read private DMs or group conversations here.

  • Each workspace is bound to its portal scope: program admins see only their program's channels, institution admins only their institution's, and so on.

  • Bulk actions cover archiving and settings updates only. There is no bulk delete — history is preserved when a channel is archived.

  • Making a channel read-only stops new posts; it does not remove members or hide existing messages.

  • Statistics reflect the current scope and filters. The unique-member count de-duplicates people who belong to several channels.

Common questions

Q: Can administrators read direct messages between two people? A: No. This workspace manages channels and support threads; one-to-one and group conversations are not listed.

Q: What happens to an archived channel? A: It leaves active conversation lists but keeps its history and members, and can be unarchived from the same workspace, individually or in bulk.

Q: How do I stop posting in a channel without archiving it? A: Open the channel's Settings from the workspace table and turn off Posting access.

Q: Why do the three admin routes look the same? A: They're the same workspace bound to different scopes, so each administrator sees exactly the channels they govern.
