Snoozing and Archiving Inbox Items

What it does

You can manage your own inbox items three ways: mark them seen, snooze them until a time you choose, or archive them out of your list. These actions only change how items appear to you — they never decide, cancel, or change the underlying work the item refers to.

Who it's for

Anyone with an inbox. All three actions apply only to items addressed to you; people following an item you sent can see it but manage only their own copy of anything addressed to them.

How it works

Mark seen. Marking an item seen records that you have looked at it and clears it from your unread indicators. It is a one-way, per-person flag: marking an item seen again has no further effect, and it does not affect what anyone else sees.

Snooze. Snoozing hides an item from your To do list until the time you pick. While snoozed, the item does not count toward your open-item count. When the snooze time passes, the item reappears in To do automatically — snoozing postpones an item, it never dismisses one. Snoozed items can also be included on request before their time is up, so a snoozed item is hidden by default but never lost.

Archive. Archiving removes an item from your inbox entirely — it no longer appears in any group or in your open-item count. Use it for items you are finished with. Archiving an item does not resolve or cancel the work it points to; if a decision is still needed, it remains needed in the originating feature.

Boundaries and limits

  • The inbox is not yet available as a screen you can visit in the product; these actions describe how the platform's underlying action-item system behaves.

  • Seen, snooze, and archive are the only changes you can make to an inbox item. You cannot edit its title or context, change its urgency, reassign it, or mark it resolved yourself — resolution is recorded only by the workflow that created the item.

  • These actions are strictly per-person. Snoozing or archiving an item in your inbox has no effect on the requester, on people following the item, or on the underlying task.

  • There is no self-service way to bring an archived item back into your inbox. The underlying work item is unaffected and still reachable from its own page.

  • Snooze does not silence the item permanently — it always returns to To do when the chosen time passes.

  • You cannot snooze or archive items in someone else's inbox, and following an item you sent does not let you manage it for the recipient.

Common questions

Q: Does archiving an approval reject or cancel it? A: No. Archiving only removes the item from your inbox list. The approval itself still exists in the feature it belongs to and still needs whatever decision it was waiting for.

Q: I snoozed an item — where did it go? A: It is hidden from your To do list until the snooze time you chose. Snoozed items can still be shown on request, and the item returns to To do on its own once the time passes.

Q: Will the person who sent me an item know I snoozed it? A: No. Snooze and archive are visible only to you. The sender still sees the item as open until it is actually decided.

Q: Can I un-archive an item? A: Not from the inbox. Archiving is intended to be final for your list; the underlying work remains available from its own page.
