What it does
Administrators and designated reviewers can open any submitted response in a read-only preview showing the questions, answers, people involved, status history, and signature when one was collected. Forms can also carry a formal review step, where chosen reviewers approve a response, reject it, or send it back for revision, and the responder is notified of the outcome.
Who it's for
Program administrators, directors, and coordinators previewing or auditing responses, plus the named reviewers who complete the formal review step; responders see review outcomes as notifications.
How it works
Previewing a response. From the assignments list, opening a completed assignment slides out a preview panel: responder and recipient, status, each question with its submitted answer, the chain of reviews with their statuses, and the signature section for signed forms. From the same panel select PDF to download the response, Print it, or keep private administrative notes on the assignment. Downloads are logged.
Review workflows. When building a form, enable reviews and name who reviews completed responses — specific people or groups. Reviews can be created automatically when a response comes in, or started manually. A reviewer records a decision (approved, rejected, or needs revision) with a comment, optional internal notes, and an optional attachment link; the responder is then notified, with revision requests flagged at higher priority.
Comments. Responses support threaded comments, and important comments can be pinned. Authors can edit their own comments.
Confidentiality and reveal. For confidential forms, responder identity is withheld from recipients until the form's reveal conditions are met: a minimum number of collected responses (three by default) and, optionally, a waiting period in days. Identity reveals are logged.
Before you start
You need to be an administrator, or a reviewer named on the form, to open the review step — anyone with assignment access can still open the read-only preview.
Know which assignment you're looking for; the preview opens from a specific row on the assignments list, not a standalone page.
If the form is confidential, check whether the reveal threshold has been met before you expect to see a name.
Do this
Open Forms → Assignments (
/forms/assignments) → you should see the assignments list.Select a completed assignment's row → the response preview panel slides out with the responder, recipient, and each answered question.
Select PDF to download the response, or Print it → the file or print dialog opens with the same content shown in the panel.
If you are a named reviewer and a review is pending, open the review panel and record a decision — Approve, Reject, or Needs revision — with a comment → select Submit review.
To flag the assignment for follow-up, select Flag in the panel → the assignment shows as flagged on the list.
You're done when
The preview shows the full response, with the signature section present for signed forms.
A submitted review shows its decision and notifies the responder.
A downloaded PDF matches what was on screen, and the download is logged.
Boundaries and limits
The preview is read-only; answers cannot be edited from the preview panel by anyone, including administrators.
Only reviewers named on the form (directly or through a reviewer group) can complete the review step.
Review comments and internal notes are each limited to 5,000 characters, and attachment links must be standard web links.
Administrative notes on an assignment are internal and are not shown to the responder or recipient.
Confidential responder identities are not revealed early through the preview; reveal conditions must be met, and reveals are recorded.
Response PDF downloads are logged for accountability.
Common questions
Q: Can I fix a typo in someone's submitted response? A: No. Submitted answers are read-only. If a correction matters, use the review step to send the response back for revision, or reissue the form.
Q: Who gets notified when a review is finished? A: The person who completed the form receives a notification with the review outcome; "needs revision" outcomes are marked high priority.
Q: Can a reviewer see who submitted a confidential response? A: Confidential identity protection applies until the form's reveal threshold is met (minimum responses and any waiting period). Reveal events are logged.
Q: Can I share a response outside the platform? A: You can download a completed response as a PDF or print it from the preview panel. Each download is recorded.
