What it does
Every generated document opens in a draft workspace, where you read the rendered draft, edit its content, move it through workflow statuses, and send it to colleagues for review. Reviewers get a secure, time-limited link, see the draft with a watermark, and leave written feedback or confirm they have no concerns.
Who it's for
Program and institution staff who own the document work in the workspace, and reviewers — other people at your organization such as faculty, advisors, or administrators — receive a review link by email and in-app notification.
How it works
Source inspector. The workspace shows the draft alongside a source inspector. Where the document was filled from platform data, the inspector traces each value back to its source. Authorized users can correct a source value there, and the correction flows back to the underlying record. A History tab lists every action, with who did it and when.
Editing and status. Select Edit to switch the preview into a rich-text editor, make changes, and select Save — previous content stays in history. The status selector moves the document through your institution's workflow statuses; drafts show a watermark until they move on. Deleting a draft needs confirmation.
Requesting review. Enter the reviewer's email in the Draft review panel, choose whether they may leave feedback, then select Send review link. The reviewer gets an email and in-app notification with a link that expires after 14 days by default. Opening it needs sign-in; the reviewer sees the watermarked draft and can submit written feedback or select I have no concerns. Feedback lands back in the review panel, where you select Resolve on items you've worked through.
Before you start
Have the reviewer's email address ready — they must already be a platform user; outside emails aren't accepted.
Decide whether the reviewer may leave feedback, or only confirm they have no concerns, before you send the link.
Do this
Open a document from the Generated Documents list (
/documents/generated/:id) → you should see the draft workspace with the preview and source inspector panel.In the Draft review panel, enter the reviewer's email in the Recipient email field, then select Send review link → you should see a confirmation, and the link listed under Review links.
When feedback arrives, open the Feedback section of the panel and select Resolve on an item once you've addressed it → confirm the item is marked resolved.
You're done when
✓ The review link shows under Review links in the Draft review panel.
✓ Submitted feedback shows in the Feedback section.
✓ Items you've addressed are marked resolved.
Boundaries and limits
Review recipients must be existing platform users. A review link cannot be sent to an outside email address.
Review links expire (14 days by default), require sign-in, and don't allow downloading the document.
Reviewers can only comment on the draft. Only workspace users can edit its content.
Editing and status changes are always recorded in history. The history cannot be edited or removed from the workspace.
Source corrections change the underlying platform record, not just this document. Use them to fix wrong data at its source.
Deleting a generated document is a soft delete behind a confirmation dialog. It removes the document from the list.
Printing uses the browser's print function from the workspace.
Common questions
Q: Can I send a draft to someone outside our organization for review? A: No. The recipient must already have an account on the platform, and they must sign in to open the review link.
Q: What happens when a review link expires? A: The link stops working. Send a new review link if the person still needs to review the draft.
Q: A merge field pulled in the wrong value. Should I just edit the text? A: You can edit the text for a one-off fix. If the underlying data is wrong, use the source inspector to correct it at the source, so future documents are right too.
Q: Where can I see who changed this document? A: The History tab lists every edit, status change, and review request, with the person and timestamp.
