What it does
The Instructional Load report shows how a program's scheduled class time breaks down by session type — lecture, lab, small group, and so on — across every course in a program and academic period. It surfaces minutes and percentage per type, plus a separate Unaccounted share for time with no session type on file, so directors and accreditation teams see the instructional mix without building a spreadsheet by hand.
Who it's for
Program administrators and program directors preparing curriculum committee or accreditation evidence, and institution administrators exporting the data for an accreditation package.
How it works
The report table. Open Curriculum Reports and select the Instructional Load tab. Choose an academic period and, optionally, search courses by name or code. The table lists every course with scheduled time in that period. Each row shows total scheduled minutes, minutes and percentage per session type configured for the program, and an Unaccounted column for minutes with no session type. A Program totals (scheduled minutes) summary above rolls up the same breakdown across the whole program — it stays accurate as you page through, never just a sum of the visible rows.
Where time comes from. Time comes from each session's scheduled occurrences — the specific dates and times a session actually meets, not just its template duration. A session with no scheduled occurrence still counts if it has a duration on file. Cancelled occurrences are excluded, and a course with no scheduled time at all doesn't appear as a row.
Exporting. Select Export view on the report to download the visible table as a CSV for a quick check, or queue a full export from Data Exchange → Exports. Instructional Load (Summary) produces one row per course with minutes and percentages by type. Instructional Load (Detail) produces one row per scheduled occurrence, with course, session, type, date, times, session leader, themes, and keywords.
Before you start
Pick the academic period you want to report on first — the table and totals are scoped to it.
Decide whether a quick CSV of what's on screen is enough, or you need the fuller Summary or Detail export from Data Exchange.
Do this
Open Curriculum Reports (
/curriculum/reports) and select the Instructional Load tab → confirm the tab description and a course search field appear.Choose the academic period you want in the report's period control → confirm the table reloads for that period.
Use the search field to find a course by name or code, if needed → confirm the table filters to matching rows.
On the same tab, review the Program totals (scheduled minutes) summary and the Unaccounted column on each row → confirm the numbers reflect the period you selected.
For a quick check, select Export view on the tab → confirm a CSV of the visible table downloads.
For a fuller export, open Data Exchange → Exports (
/curriculum/data-exchange/exports) and choose Instructional Load (Summary) or Instructional Load (Detail) → confirm the export queues and appears in the Recent exports list.
You're done when
✓ The Instructional Load tab shows a row for every course with scheduled time in the period you picked.
✓ The Program totals summary matches the sum you'd expect across all courses, not just the visible page.
✓ A downloaded CSV or a completed Data Exchange export contains the breakdown you needed.
Boundaries and limits
The report is program-wide for the selected academic period; there's no single-course or single-faculty filter yet.
A course with zero scheduled minutes in the period doesn't appear as a row and isn't counted in program totals — it isn't hidden data, it just has nothing to report.
Session types with no active configuration, or minutes with no session type at all, are grouped into Unaccounted rather than dropped. Every scheduled minute is visible somewhere.
Percentages always add up to 100% for a course. Session-type percentages round normally, and Unaccounted absorbs any rounding difference.
The report doesn't filter by whether a schedule is published; draft and published occurrences both count.
There's no PDF export. Both export types are CSV files generated as background jobs, downloaded like other curriculum exports (a secure link expiring after about an hour).
The report reflects live data at the moment you generate it, not a saved snapshot.
Common questions
Q: Why doesn't a course I know has sessions show up in the table? A: If none of its scheduled occurrences have a computed duration (no times set, no fallback duration on the session), it has no instructional-load minutes to report and is left out.
Q: What does Unaccounted mean? A: Scheduled time with no session type assigned, or whose type has since been retired or turned off. It still counts in the course's total minutes — it's just not attributable to a specific type.
Q: Why do the percentages sometimes not match a quick mental calculation of one column? A: Every session-type percentage is rounded independently, and Unaccounted absorbs the remainder, so the row always sums to exactly 100%.
Q: Can I filter this report to one faculty member's sessions? A: Not yet. The report is program-wide for the selected period.
Q: How is this different from the Course Summary tab? A: Course Summary counts sessions, schedules, objectives, and enrollments per course. Instructional Load is specifically about the mix of scheduled minutes by session type, which Course Summary doesn't show.
