Course Enrollment and Rosters

What it does

Each course has a roster of enrolled learners. Administrators enroll people one at a time or in bulk. Each enrollment moves through statuses: pending, active, withdrawn, dropped, completed, or incomplete. The roster also shows how each learner was enrolled — manually, by import, self-enrollment, or another source — and keeps a history of status changes.

Who it's for

Program administrators and coordinators managing course rosters in the administration portal. Learners see their own enrollments reflected in their personal course views.

How it works

Adding learners. From a course's roster, add learners one at a time or select many for a bulk enrollment. Bulk enrollment reports how many were added and how many were skipped as already enrolled. Re-enrolling someone who dropped reactivates their original record, keeping its history intact instead of starting over.

The roster. Server-paginated and filterable by enrollment status, with search across learner name and email. Each row shows Name, Email, Status, Source (Manual, Import, LMS, API, By Role, Self, or Transfer), and the enrollment date.

History and removal. Every status change is recorded with who made it and when — open View History from a row's menu to see it. Removing a learner from a roster is a protected soft removal done server-side: the enrollment disappears from the roster, but the record and its history stay in the database. Enrollment records can't be hard-deleted from the browser, protecting the academic record.

Before you start

  • Know whether you're enrolling one learner or several — the dialog has separate Single Student and Bulk Enroll tabs.

  • You need enrollment-management access to add, drop, or remove enrollments; without it, the roster is read-only.

Do this

  1. Open a course's roster and select Enroll Students in the toolbar → the Enroll Students dialog opens.

  2. Stay on the Single Student tab for one learner, or switch to the Bulk Enroll tab for several → confirm the dialog shows the fields for that tab.

  3. In the Select Student field, choose the learner or learners, and add an optional note in the Notes (optional) field → confirm your selections show in the dialog.

  4. Select Enroll Student (or Enroll [N] Students on the bulk tab, where [N] is your selected count) → you should return to the roster and see the new row or rows, with a summary of how many were added and how many were skipped as already enrolled.

  5. To change a learner's status later, open the menu on their row and select Mark Completed or Drop Student → the row's Status badge updates immediately.

  6. To remove someone from the roster, select the Remove Enrollment icon on their row and confirm → the row disappears from the roster.

You're done when

  • ✓ The learner appears on the roster with the Status and Source you expect.

  • ✓ A status change shows the new badge on the row and a matching entry in View History.

  • ✓ A removed enrollment no longer shows on the roster, while its history stays intact.

Boundaries and limits

  • Enrollment statuses are a fixed set: pending, active, withdrawn, dropped, completed, and incomplete. Custom statuses are not supported.

  • A learner can hold only one active enrollment per course; attempting to enroll an already-enrolled learner is skipped (bulk) or rejected (single).

  • Removing an enrollment never destroys its history — deletion is soft and server-mediated, and requires enrollment-management access. There's no way to hard-delete an academic enrollment record from the app.

  • Re-enrollment after a drop reactivates the prior record rather than creating a duplicate; the earlier history stays attached.

  • Roster search covers learner first name, last name, and email; it does not search notes.

  • The status-change menu offers Mark Completed and Drop Student directly, with no reason prompt at the point of change.

Common questions

Q: What happens if I re-enroll a learner who dropped the course? A: Their original enrollment is reactivated with its full history intact — the platform does not create a second record.

Q: Can I permanently delete an enrollment that was made by mistake? A: You can remove it from the roster, which hides it while preserving the record and its history. Permanent deletion from the browser is intentionally blocked to protect academic records.

Q: Can I see who changed a learner's status and when? A: Yes. Open View History from the row's menu — every status change is logged with the person who made it and the time.

Q: How do bulk enrollments handle learners who are already enrolled? A: They are counted as skipped, and the result message tells you how many were added versus skipped.
