Case Requirements and Compliance Tracking

What it does

Programs set minimum counts on the diagnoses and procedures learners must encounter, and the platform tracks progress against those minimums automatically. Learners see their own remaining requirements in My Cases; program staff see a compliance dashboard across every learner, broken down by individual, category, rotation, or site. Only approved case logs count.

Who it's for

Learners track their own progress from the personal portal. Program administrators, directors, and coordinators monitor cohort compliance and find learners at risk of missing requirements.

How it works

Where requirements come from. Each diagnosis or procedure in the program's catalog can carry a minimum required count. Items with a minimum above zero become tracked requirements; items at zero are logged but not tracked.

The learner view. My Cases shows a program requirements summary: how many approved logs remain overall, how many required items are complete, and the next items to work on. The Diagnoses Seen and Procedures Seen tabs list every tracked item with its completed count against the minimum.

The compliance dashboard. On Case Log Compliance, program staff switch the Requirement set tabs between diagnosis and procedure requirements. Group by picks one of four views: By Individual, By Category, By Rotation, and By Site. Filters cover role, category, and academic period. You can also hide counts not tied to a rotation, or include learners who haven't logged anything yet. Summary numbers show total learners, how many are fully compliant, and average completion. Each learner row expands into per-item and per-rotation progress. All four views put the largest remaining gaps first, so the people and groups furthest behind stay at the top across pages.

Automatic credentialing thresholds. Separately from catalog minimums, a program can hold case-count thresholds per case log type. When a learner's approved logs reach a threshold, the platform automatically grants (or upgrades) a credential level for that learner, recorded with who approved the triggering case and when.

Before you start

  • You need program access to open Case Log Compliance; learners see only their own progress on My Cases.

  • Decide whether you're checking diagnoses or procedures, and which grouping (individual, category, rotation, or site) answers your question.

  • Turn on the option to include learners without logs if you want zero-progress learners in the count, not just active ones.

Do this

  1. Open Case Log Compliance (/cases/compliance) → you should see the Requirement set tabs and summary numbers for total learners and average completion.

  2. Select the Diagnoses or Procedures tab under Requirement set → the page recalculates for that requirement type.

  3. Use the Group by control to select By Individual, By Category, By Rotation, or By Site → you should see the dashboard switch to rows for that grouping.

  4. Apply filters for role, category, or academic period in the filters panel, or select the option to include learners without logs → the count updates to match.

  5. Select a learner or category entry in the list view to expand it → you should see per-item and per-rotation progress with completed and remaining counts.

You're done when

  • ✓ You can name which learners or categories are fully compliant and which are still short.

  • ✓ Each expanded row shows exact completed and remaining counts by item and rotation.

  • ✓ The view you're on (diagnoses or procedures, and grouping) matches the question you set out to answer.

Boundaries and limits

  • Only approved case logs count toward requirements. Drafts, pending, and returned logs do not.

  • When filtering by academic period, logs are counted by their approval date, not the encounter date.

  • Items with a minimum of zero are never shown as requirements, and category compliance reflects only tracked items.

  • Requirement progress is per program; each program's catalog and minimums are independent.

  • Automatic credential levels are computed and stored by the platform, but there's currently no in-app screen for configuring case-count thresholds or browsing granted credentials. Credentials are never hard-deleted; a revoked one is retained for audit and hidden from active views.

  • The learner requirements summary appears only when the program has tracked requirements; otherwise the section stays hidden.

  • All four dashboard views (individual, category, rotation, site) sort by remaining count descending, so pages are ordered furthest-behind-first rather than alphabetically.

Common questions

Q: I logged a case — why didn't my requirement count move? A: Counts move when a log is approved. Check whether the log is still a draft, pending review, or was returned.

Q: Can requirements differ by rotation? A: Minimums are set per diagnosis or procedure for the program, not per rotation. The dashboard and the learner drill-down do break completed counts down by rotation so you can see where cases were accrued.

Q: What does "fully compliant" mean on the dashboard? A: The learner has met the minimum for every tracked requirement of the selected type in the selected scope.

Q: A learner shows no rows at all. Why? A: By default the dashboard focuses on learners with activity. Turn on the option to show learners without logs to include them with zeroed progress.

Q: Why isn't the list alphabetical? A: All four views (individual, category, rotation, site) sort by remaining count, largest first, so the people and groups furthest behind surface at the top of page 1.
