What it does
The export dialog offers two ways to take your schedule outside the platform: a one-time download of the events on screen as a standard calendar (.ics) file, and a personal live subscription link that external calendar apps — Google Calendar, Apple Calendar, Outlook, and others — refresh automatically as your schedule changes.
Who it's for
Anyone who wants their platform schedule in their everyday calendar app: learners syncing rotations and sessions to their phone, faculty and staff consolidating work calendars.
How it works
Download. Open Export Calendar from the calendar header's more-actions menu. The Download tab saves the events currently loaded in your view as an .ics file you can import into any calendar app — a snapshot of that moment.
Subscribe. This tab manages your live feed. Select Get subscription link to generate a personal URL, then either copy it into your calendar app's subscribe-by-URL option or use Open in Calendar App to hand it to your default calendar directly. Once subscribed, your app pulls updates on its own refresh schedule.
Link security. The link is personal and secret: it's shown once at generation, and only a fingerprint of it is kept on the platform. If you lose it or suspect it leaked, Generate new link replaces it (the old link stops working), and Revoke link shuts the feed off entirely.
Before you start
Decide which you need: a one-time Download for a snapshot, or a Subscribe link that keeps updating in your own calendar app.
Have your calendar app ready to accept a subscribe-by-URL feed, or set as your device's default calendar app if you plan to use Open in Calendar App.
Do this
Go to
/calendar, then open Export Calendar from the more-actions menu → the export dialog opens with Download and Subscribe tabs.For a one-time file, stay on the Download tab and select Download Calendar → the .ics file downloads with the events currently loaded in your view.
For a live feed, select the Subscribe tab, then select Get subscription link → you should see a personal URL displayed once.
Copy the link into your calendar app's subscribe-by-URL field, or select Open in Calendar App to hand it to your device's default calendar → your app confirms the new subscribed calendar.
You're done when
✓ A downloaded .ics file opens correctly in your calendar application.
✓ A subscribed calendar app shows your rotations, sessions, and shifts, refreshing on its own schedule.
✓ Selecting Revoke link or Generate new link immediately stops the old link from working.
Boundaries and limits
The subscription link works for anyone who has it — external calendar apps cannot sign in, so the link itself is the key. Treat it like a password and revoke it if exposed.
The link is shown only once. The platform stores only a hash, so it cannot re-display an existing link; if you lose it, generate a new one.
Each person has at most one active subscription link. Generating a new one always revokes the previous one.
The live feed carries your published curriculum sessions, rotation (block) schedule, and assigned shifts. Platform calendar events, time off, and form deadlines aren't in the feed — use the .ics download for those.
The feed is capped at 2,000 upcoming items.
The .ics download is a snapshot of the events currently loaded in your calendar view; it does not update after download.
Updates in external apps depend on how often the app refreshes subscribed calendars, which the platform does not control.
Common questions
Q: My subscribed calendar in Google is a few hours behind. Is something broken? A: Probably not. External apps refresh subscribed calendars on their own schedule — often every few hours. The feed itself always serves current data when the app asks.
Q: I lost my subscription link. Can support look it up? A: No. The platform keeps only a fingerprint of the link, never the link itself. Generate a new one from the export dialog; the old one stops working automatically.
Q: Why don't my program's conference events show in my synced calendar? A: The live feed covers curriculum sessions, rotations, and shifts. For calendar events like conferences, use the .ics download, or check them on the platform calendar.
Q: How do I stop sharing my schedule with an app I no longer use? A: Revoke the link from the export dialog's subscribe tab. Every copy of that link stops working immediately.
